Understanding Contacts in Payreq Delivery

The Contacts tab contains a master list of all accounts that Payreq uses to verify new and manage existing Subscriptions.


What is a Contact?

A Contact is a record that contains the identifying information Payreq uses to recognise a customer or account.Depending on your organisation this may be a property, utility account, or an employee. A Contact will always require a unique identifier such as:

  • Account number or billing reference number
  • Property ID
  • Employee Number


Additional Contact information can also be included:

  • Customer name
  • Name as shown on the bill or notice
  • ABN
  • Group or Notice ID
  • Address


The exact fields may vary between organisations. In most cases, Contact data should be updated as part of your standard billing or payroll procedure, or populated directly from your “source of truth” ERP system.

Why Contacts are important

Keeping Contact information accurate is important because Contacts are used to support digital subscriptions, document delivery and customer matching. They are used to:

  • Verify new subscriptions for digital delivery
  • Identify instances where customer account has changed (e.g. property exchange)
  • Identifying ABN’s published on the PEPPOL eInvoicing registry
  • Automate bulk subscriptions updates using a Group or Notice ID

If Contact information is missing, outdated or inconsistent, it may be harder for a customer to subscribe successfully or for your team to investigate a delivery issue.

 

Contacts and Subscriptions

Contacts are closely linked to subscriptions. When a customer subscribes to receive documents digitally, Payreq uses Contact information to help confirm that the subscription request belongs to the correct account.

If key Contact details change, such as the customer name or account identifier, Payreq can flag the related subscription for review. This helps prevent documents from being delivered to the wrong recipient when account ownership or customer details have changed.
